Audio Vault is a Software-as-a-Service (SaaS) platform designed to capture, normalize, and combine digital dictation recordings into a single dictation file. This file can be linked to a specific document within a Document Management System (DMS).

Audio Vault Recording

This platform is especially beneficial in clinical settings, where clinicians dictate clinical letters through multiple recordings. All of these recordings need to be associated with a single letter in the hospital's DMS. This allows medical secretaries to verify the speech-to-text conversion by listening to the consolidated recording.

Cloud Native

Audio files can be large, which is why Audio Vault utilizes Amazon S3 with Intelligent Tiering to minimize storage costs while ensuring durability.

The meta-data that Audio Vault staores about patients and dictations is stored in the fastest serverless distributed SQL database — Amazon Aurora DSQL; with point-in-time recovery thanks to AWS Backup.

Capture

Audio Vault employs a Windows Service that captures audio recordings within milliseconds of being saved, meaning you'll never lose audio again!. The capture service also collects additional telemetry data, including the Windows username and PC hostname. All telemetry is stored centrally, providing intelligent dashboards for clinical boards.

Intelligent Indexing

The indexing service associates multiple audio segments with a single document within your Document Management System (DMS). This is accomplished by using documented stored procedure to accurately capture the required metadata.

Playback

Audio Vault features an HTML5 audio player that allows medical secretaries to listen to the consolidated recordings. Clinical staff can launch the audio player in the context of a patient or document directly from the hospital's main Electronic Patient Record (EPR) or DMS.

Dashboard

Audio Vault comes with a dashboard which allows hospital staff to search for audio recordings by patient medical record number or by a clinician's name.

Speech to Text

If clinicians forget to save the text within the hospital's DMS, Audio Vault can utilize Amazon Transcribe to recreate the text from the original audio recordings, safely stored in Audio Vault.

Retention Policies

Hospitals can configure any retention policies they wish (the default is set to 90 days), and Audio Vault will ensure that audio is purged from the system promptly as per these configurations.
